1. Who we are

1.1

Arabic Translation Service (“we”, “us”, “our”) is a trading name of Lingo Service Translations Ltd, registered in England and Wales, company number 09343595, VAT number GB228977554. Our address is Regus House, Malthouse Avenue, Cardiff CF23 8RU, United Kingdom.

1.2

“You” means the person or organisation placing an order with us.

1.3

These terms apply to every quote we give and every order you place with us, whether through our instant quote page, by email or through our contact page. By placing an order, you agree to them.

2. Our services

2.1

We are an Arabic localisation studio. We provide:

  • website and app localisation;
  • software and game localisation;
  • video localisation, including subtitles, voiceover, dubbing and on-screen text;
  • e-learning localisation and course creation in Arabic;
  • Arabic desktop publishing (layout);
  • transcreation and Arabic copywriting;
  • a dedicated Arabic team for ongoing work;
  • other language services we agree with you in writing.
2.2

Every project has Arabic as the source or the target language.

2.3

We do localisation and creative language work only, and we do not provide certified translation. For certified translations accepted by UK authorities, please use Arabic Translation UK, the certified translation service of Lingo Service Translations, at arabictranslation.co.uk.

2.4

Our services are designed for business clients outside the United Kingdom. Where we accept an order from a client in the United Kingdom or the Isle of Man, or from someone buying as an individual, VAT applies as set out in clause 5.

3. Quotes and prices

3.1

We price each project on its real scope: words for text, pages for layout work, and minutes for video, subtitles and voiceover. The language pair, the complexity of the layout and the delivery speed also affect the price. Blank pages are not charged.

3.2

When you upload files to our instant quote page, we count the words, pages and minutes on our own server and show you a fixed price straight away. Your files are not passed to outside services to do this.

3.3

If we cannot open a file, you can type in the number of words, pages or minutes yourself. For large scanned documents, the word count may be estimated from a sample of the pages, and the quote tells you when this is the case. If a number you typed in, or a count estimated from a sample, turns out to differ from your real files by more than 10%, we tell you the corrected price before work starts. You can accept it, or cancel for a full refund.

3.4

A quote is valid for 30 days from the date we issue it. After that it expires, and you need to upload your files again for a new quote at the prices that apply on that day.

3.5

The price in your quote is fixed for the files, languages, service and delivery speed it covers. Apart from the correction in clause 3.3, we do not add extras afterwards. If you add files, change your source content after we start, or change the languages, service or speed, we quote the change separately.

3.6

A minimum order charge applies. When it applies, it is shown as its own line in your quote.

3.7

All prices are in British pounds (GBP).

3.8

For a website, an app or ongoing work with no files to upload, tell us about the project through our contact page and we reply within one working day.

4. Placing an order

4.1

When you press “Confirm and pay” on the instant quote page, we take you to our secure payment page, where you can pay by card or PayPal. Payments are processed by our payment provider, Mollie. If you leave the payment page without paying, you can pay later from the link we email you, for as long as the quote is valid (clause 3.4).

4.2

The contract between us starts when we receive your payment. Until then, nothing is owed and either of us can withdraw. Once payment is received, we email you a copy of the order with the full price breakdown and a reference. Please quote the reference in any message about the order.

4.3

By placing an order, you confirm that:

  • you have the right to use the material you send us and to let us work on it;
  • the information you give us is accurate, including your country and whether you are buying for a business;
  • the files you send are complete and readable;
  • you accept these terms.
4.4

We may refuse or cancel any order at our discretion, including orders for material that is illegal, offensive or infringes someone else’s rights. If we do, we refund any payment you have made.

5. VAT

5.1

VAT depends on your country and on whether you are buying for a business. You tell us both on the quote page, and your quote shows the VAT before you order.

5.2

Clients in the United Kingdom or the Isle of Man pay UK VAT at the standard rate, currently 20%.

5.3

Business clients outside the United Kingdom: our services are outside the scope of UK VAT, so we do not charge UK VAT.

5.4

If you live outside the United Kingdom and buy as an individual, not for a business, you do not pay UK VAT on written translation services (translation, translation with layout, subtitles and transcreation). These services are outside the scope of UK VAT, provided you give us your home address abroad, and we may ask for proof of that address. Voiceover and layout-only work bought by individuals outside the United Kingdom carries UK VAT at the standard rate, currently 20%.

5.5

If you tell us you are buying for a business, you confirm that this is true. We may ask for evidence of your business status, for example a VAT number, a company registration number, or your company name and business address, and charge UK VAT if it is not provided.

5.6

If you are a business outside the United Kingdom, you are responsible for any tax due in your own country, including any reverse charge.

6. Payment

6.1

Full payment is due when you place your order. You pay online, by card or PayPal, through our secure payment page, and payments are processed by our payment provider, Mollie.

6.2

A payment link stays usable for as long as your quote is valid, which is 30 days from the date we issue it (clause 3.4).

6.3

Clients with an approved account or a framework agreement with us, including dedicated Arabic team clients, can be invoiced instead, on the payment terms agreed in writing.

7. Delivery

7.1

The delivery time in your quote is an estimate, and it starts when we have received both your payment and your complete material. A working day means Monday to Friday, excluding UK public holidays.

7.2

Standard is our normal schedule. Fast is a priority schedule that takes about half the time. Express delivers within 12 hours and is offered for translation jobs of up to 2,000 words. Your quote shows which speeds are available for your files and the delivery time for each. Subtitle and voiceover orders are delivered at Standard speed only.

7.3

When a project includes both translation and layout, the two stages run one after the other and the estimate covers both. Several target languages are worked on at the same time.

7.4

We deliver the files by email or through a secure download link, in the formats agreed for your project, normally your own formats.

7.5

If we miss the delivery time in your quote for a reason within our control, we refund the Fast or Express charge on request.

8. What you need to supply

8.1

To do the work well, we need from you:

  • the original, editable source files where you have them. If you only have a flat PDF, we can rebuild the document from it. Files that are not editable may cost more to lay out, and this is shown in your quote;
  • the fonts used in your files and any brand fonts you want us to use. If your brand font has no Arabic version, we recommend a matching Arabic font. If a commercial Arabic font licence is needed, you buy it, or we buy it for you at cost with your approval;
  • your glossary, style guide and any earlier translations you want us to follow. If you do not have a glossary, we can build one during your first project;
  • for checks in context, access to the build, staging site, player or live link where the Arabic will appear;
  • correct names, product terms and reference details;
  • your deadlines, and any length, character or platform limits;
  • which Arabic you want: Modern Standard Arabic or a regional dialect. If you are not sure, we will advise you.
8.2

If your format is not one we list, send it anyway. If we cannot work with it, we will tell you and suggest an alternative.

8.3

If material from you arrives late or incomplete, the delivery date moves back by the same amount of time.

8.4

You are responsible for having the rights to all material you send us, including text, images, fonts, video, audio and code, and for making sure that your use of it is lawful.

8.5

For voiceover, you hear samples and choose the voice before we record, and you approve the Arabic script before recording starts. If we have to re-record because of a mistake on our side, we do it free of charge. If the approved script changes and the recording has to be redone, the new recording is charged per finished minute at the rate in your quote.

9. Revisions and corrections

9.1

Revisions are included. If you find a genuine translation error, we correct it free of charge, with no time limit.

9.2

We review and correct genuine translation errors and formatting issues.

9.3

Changes of preference are changes that are not errors, such as style, tone or wording choices in transcreation and copy. One round of preference changes is included if you ask for it within 14 days of delivery. We quote any further rounds.

9.4

Changes to your source content, new content, or changes to your instructions after work has started are new work, and we quote them separately (clause 3.5).

9.5

Please send revision requests in writing to hello@arabictranslationservice.com, quoting your order reference.

10. Complaints

10.1

If you are not happy with our work or service, email hello@arabictranslationservice.com with the details, quoting your order reference.

10.2

Our senior team reviews your complaint within 5 working days and proposes a resolution or correction.

10.3

If we cannot resolve it together, we can refer the matter to mediation or another form of alternative dispute resolution.

11. Cancellation and refunds

11.1

You get a full refund if:

  • you cancel before work has started;
  • you pay twice or pay by mistake;
  • we cannot deliver the service because of an issue on our side.
11.2

Work starts as soon as you pay, so please tell us straight away if you want to cancel.

11.3

Once work has started, a full refund is not possible, because professional work begins immediately. We may consider a partial refund case by case, reflecting the part of the project already completed.

11.4

Refunds are not available:

  • after the work has been completed and delivered (genuine errors are still corrected under clause 9);
  • where you gave us incorrect information or chose the wrong service;
  • for a change of mind after work has started.
11.5

We process refunds within 5 to 7 working days to the original payment method, and email you when the refund has been made.

11.6

If you buy as an individual rather than for a business, you also have a legal right to cancel within 14 days of the day the contract starts (clause 4.2), without giving a reason. If you ask us to start work within those 14 days and then cancel, you pay for the work done up to the time you tell us you are cancelling, and we refund the rest. To cancel, email hello@arabictranslationservice.com quoting your order reference. Clauses 11.2 to 11.4 do not reduce this right, and nothing in these terms affects your legal rights as a consumer.

12. Confidentiality

12.1

Your files and your company name stay confidential. We store every file privately from the moment it arrives, never publish it, use it only for your quote and your project, and share it only with the linguists and voice artists working on your project.

12.2

All our translators and staff sign confidentiality agreements.

12.3

We will not:

  • share your files or information with unauthorised third parties;
  • use your files for any purpose other than your quote and your project;
  • use your content to train machine learning models.

13. Intellectual property

13.1

Once you have paid in full, you own the translated and localised work we deliver to you and may use it for your business, subject to clause 13.5.

13.2

You keep all rights in the material you send us.

13.3

We keep copies of the delivered work for quality assurance and our internal records. We delete your files whenever you ask (see clause 14).

13.4

All content, logos and materials on our website remain our intellectual property.

13.5

You own the translated text and any glossary we build for you. We may keep translation memories from your projects to keep your future work consistent, and we never use your material for anyone else. Voices and fonts are used under the licence terms that apply to them. Those licences may limit how you can use a recording or a font, for example to one medium or for a set period, and if they do, we tell you before we record or set the text.

14. Data protection

14.1

We handle personal data under UK GDPR and the Data Protection Act 2018.

14.2

Our privacy notice explains what we collect, why, and how long we keep it. You can ask us at any time what we hold about you, ask for a correction, or ask us to delete your enquiry data and files. Write to hello@arabictranslationservice.com and we reply within one working day.

15. Liability

15.1

We take every reasonable care to deliver accurate work on time. Our total liability to you is limited to the amount you paid for the order concerned.

15.2

We are not liable for:

  • errors caused by illegible, incomplete or ambiguous source material;
  • consequences of using our work beyond the agreed scope;
  • indirect, consequential or special damages;
  • lost profits, opportunities or business;
  • third-party claims arising from your use of our work.
15.3

We provide our services without warranties beyond professional translation quality. We do not warrant acceptance by any specific authority, or fitness for any particular purpose beyond the service described in your quote.

15.4

Nothing in these terms limits or excludes our liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited or excluded by law.

16. Events outside our control

16.1

We are not liable for delays or failures caused by circumstances beyond our reasonable control, including:

  • natural disasters or extreme weather;
  • war, terrorism, civil unrest or government action;
  • pandemics, health emergencies or public health restrictions;
  • technical failures, cyber attacks or internet outages beyond our control.
16.2

If this happens, we will make reasonable efforts to tell you and to resume normal service as soon as possible.

17. Indemnity

17.1

You agree to indemnify Lingo Service Translations Ltd, its employees and contractors against any claims, damages, losses or expenses, including legal fees, arising from:

  • false or inaccurate information you provided;
  • material you sent us that infringes someone else’s intellectual property or other rights;
  • misuse of our services or of the work we deliver.

18. Governing law

18.1

These terms are governed by the laws of England and Wales. Any dispute arising from these terms or our services is subject to the exclusive jurisdiction of the courts of England and Wales.

18.2

By placing an order, you agree to submit to the jurisdiction of the courts of England and Wales and waive any objection to proceedings there.

19. Changes to these terms

19.1

We may change these terms at any time. We will publish the new version on this page with an updated date.

19.2

If you keep using our services after a change is published, you accept the updated terms. If you do not agree to a change, please stop using our services.

20. General

20.1

If any part of these terms is found to be invalid, illegal or unenforceable, the rest continues in full force. The invalid part is replaced by a valid one that comes as close as possible to its original intent.

20.2

These terms, together with your quote, our order confirmation and any account or framework agreement under clause 6.3, are the entire agreement between you and us about the services. They replace all earlier agreements, understandings and communications, written or oral.

20.3

These terms are published in English and in Arabic. If the two versions differ, the English version applies.
